Privacy Policy for Chalk Golf

Effective date: 30/10/2026

1. Introduction

This Privacy Policy explains how Chalk Golf collects, uses, stores, and shares personal information when you use the Chalk Golf apps for iPhone and Android, the Apple Watch and Wear OS apps, Chalk Tracer for Mac and Windows, the Chalk Golf connector for AI assistants, and chalkgolfapp.com (the "Service").

Chalk Golf is run by Andrew Keogh, trading as KeoooDev, who is the controller of your personal data. Contact details are at the end of this policy.

When you create or access an account, we may ask you to acknowledge this Privacy Policy alongside acceptance of our Terms of Service.

We use your information only for the purposes below. Each one has a lawful basis under the UK GDPR and the EU GDPR.

We combine scores from many players’ rounds into anonymous per-hole stats for a course. They never show who played, and private and hidden rounds are left out.

5. Marketing Emails

Marketing emails are optional. New users are not subscribed by default unless they actively choose to receive product updates, offers, and marketing emails from Chalk Golf.

We keep a record of marketing consent details to demonstrate what you agreed to. You can withdraw your consent at any time from the unsubscribe link in a marketing email or from your account settings. Transactional emails — such as sign-in links, receipts, and important account notices — are not marketing emails.

6. Sharing of Information

We do not sell your personal information. Other players see only what section 2 describes. Otherwise we share information only with the service providers that help us operate the platform:

Connected AI apps. If you connect Chalk Golf to an AI assistant such as Claude or ChatGPT, that assistant can read your rounds, scorecards, stats, handicap record, swing analyses, practice log and course notes when you ask it about them. If you let it add to Chalk, it can also log practice sessions and course notes, and propose rounds or match invites that are only saved once you approve them on chalkgolfapp.com. It cannot delete anything or change scores synced from England Golf or GHIN. You choose to connect and what it may do, and you can change that or disconnect at any time on the Connected apps page. What the assistant does with the data is covered by its own privacy policy.

We may also share information when the law requires it, or to protect someone’s safety, for example by reporting child sexual abuse material to the National Crime Agency.

7. Where Data Is Processed

Our backend is hosted in the United Kingdom and the European Union. Some of the service providers listed above process data in the United States. When data leaves the UK or the EEA, we rely on the UK–US Data Bridge and the EU–US Data Privacy Framework where the provider is certified, and otherwise on the standard contractual clauses (with the UK Addendum) in the provider’s data processing terms.

8. Retention

We retain your account information, round and practice data, swing videos, Ball Tracer clips, green scans and uploaded scorecard photos for the duration of your account, or until you delete them.

Clips you send to a coach, the comments, drawings and voice notes on them, drills, and a coach’s notes and tags about a client are kept while both accounts exist, unless deleted sooner. When a coaching link ends, the coach can no longer see anything from it. When a Coach plan lapses, nothing is deleted.

If you delete your account from Settings inside the app, the deletion is permanent. Your profile, rounds, shots, notes, practice sessions, course notes, swing videos, Ball Tracer clips, event wall posts, shares, friends and coaching links are removed straight away. That covers both sides of coaching: a deleted golfer’s clips and comment threads disappear from their coach, and a deleted coach’s comments, voice notes, drills and client notes go. The remaining files linked to your account, such as scorecard photos, green scans, net practice frames, Ball Tracer clips kept to train the tracer, clips sent to coaches, voice notes, drill photos and videos, and trips you hosted, are removed within 30 days. We keep only limited records we need to comply with legal obligations, resolve disputes, prevent fraud, or enforce our agreements.

Event wall photos, videos and messages are kept until 90 days after the round or trip ends, unless you or the event host delete them sooner. Deleting your account removes everything you posted.

Ball Tracer clips kept with Help improve Ball Tracer are deleted after 12 months, or sooner if you turn it off or delete the clip.

We may also retain marketing preference records for compliance and audit purposes where required by applicable law.

9. Creator Program

If you apply to the Chalk Golf Creator Program, we collect your name, email, date of birth, phone number (if given), address, whether you're paid as an individual or a company (with company and VAT numbers if you have them), and details of your social channels. We use this to decide on your application, to run the program and pay you under the creator terms, and to keep the records UK tax law requires. The PayPal or bank account you give us for payouts is used only to pay you, and isn't stored in the Chalk Golf app.

We keep a rejected application for 180 days and then delete it. While you're a creator, and for six years after, we keep your details and payment records for tax purposes.

Each time you accept the creator terms, we record the version, the date and time, the name you typed, and the IP address and browser used, so we can show what you agreed to. We keep these records on the same basis.

If a golfer enters a creator's code, we record which creator referred them so we can pay that creator. The creator sees how many golfers used their code and what they've earned, never who those golfers are.

10. Your Rights

You have the right to access a copy of your data, to correct it, to have it erased, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent at any time. You can delete your account at any time from Settings inside the app. For anything else, email us using the details below. We’ll respond within one month.

Complaints

If you’re unhappy with how we’ve handled your data, email support@chalkgolfapp.com with “Data complaint” in the subject. We’ll acknowledge it within 30 days, look into it, and tell you what we found and what we’ve done about it.

You can also complain to the UK Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. If you live in the EU, you can complain to the data protection authority where you live.

11. Children

Chalk Golf is not directed at children under 13 (or 16 in the UK and EU). If you believe a child has created an account, contact us and we will delete it.

If you add a year of birth to your profile, we use it only to show a junior badge to coaches you link with while you are under 18.

12. Changes

If we materially change anything, we will update the effective date at the top of this page and notify you in-app or by email before the change takes effect.
