Privacy Policy for Chalk Golf

1. Introduction

This Privacy Policy explains how Chalk Golf collects, uses, stores, and shares personal information when you use our mobile app and website (the "Service").

When you create or access an account, we may ask you to acknowledge this Privacy Policy alongside acceptance of our Terms of Service.

2. Information We Collect

We may collect the following categories of information:

• Account information such as your email address and account ID. We do not collect your name, phone number, or postal address.
• Round and practice data — courses you have played, shots, scores, hole-by-hole entries, course notes, tournament flags, and practice sessions. Stored on your device by default and synced to our backend if you choose to sign in.
• Voice transcripts— when you hold the microphone in the app, we transcribe your speech using your device’s built-in speech engine and store the resulting text alongside your shot. The recording is kept on your device only as long as it takes to transcribe.
• Voice audio (Pro only, optional) — when on-device transcription struggles in noisy conditions, Pro users may have a short audio clip of that single shot sent to a cloud-based transcription service for a higher-accuracy transcript. The clip is processed in transit, never stored by us, and is not used by the service to train models. Free-tier users never trigger this path.
• Location — only while the app is open and only when you have asked for course detection or shot-distance features. We never access location in the background.
• Scorecard photos — if you use the scorecard scan feature, the photo is uploaded to our private storage and a vision model reads it. The photo stays tied to your account so you can re-scan it later. The non-personal course data we extract from the scan (such as par, yardage, and stroke index for each hole) may be added to our shared course catalog so other players benefit from a more complete course library. We never share your photo, your name, your email, your scores, or any other personal information with other users — only the generic course data the scorecard contains.
• Subscription and billing information — whether you are on the free or Pro tier, plus any subscription state we receive from our third-party payment provider. No card numbers ever touch our servers; Apple handles the payment flow directly.
• Marketing preference records, including whether you opted in, when you opted in, the wording shown to you, the version of that wording, and the source of the consent capture.
• Technical and usage information needed to operate, secure, and improve the Service.

3. How We Use Your Information

• To provide, maintain, and improve Chalk Golf.
• To authenticate your account and send service emails.
• To process subscriptions and manage Pro entitlements.
• To respond to support requests and account actions.
• To send marketing emails only where you have opted in or where we otherwise have a valid basis to do so under applicable law.

4. What We Don’t Collect

• No advertising identifiers.
• No cross-app or cross-site tracking.
• No analytics cookies on this marketing site.
• We never sell your personal data.

5. Marketing Emails

Marketing emails are optional. New users are not subscribed by default unless they actively choose to receive product updates, offers, and marketing emails from Chalk Golf.

We keep a record of marketing consent details to demonstrate what you agreed to. You can withdraw your consent at any time from the unsubscribe link in a marketing email or from your account settings. Transactional emails — such as sign-in links, receipts, and important account notices — are not marketing emails.

6. Sharing of Information

We do not sell your personal information. We share information only with the service providers that help us operate the platform:

• An authentication and database provider.
• A cloud object-storage provider for scorecard photos.
• AI providers used for transcription polish, round analysis, and scorecard reading. These providers process data for us and do not use it to train their models.
• A cloud-based transcription provider (Pro tier only) used as a fallback when on-device transcription struggles. Audio is sent in transit only and is not stored.
• A third-party payment provider for subscription state.
• A backend hosting provider.
• A marketing site hosting provider.

7. Where Data Is Processed

Our backend is hosted in the United Kingdom and the European Union. Some of the third-party services listed above process data in the United States. By using Chalk Golf you consent to your data being transferred to and processed in those countries under standard contractual clauses where applicable.

8. Retention

We retain your account information, round and practice data, and uploaded scorecard photos for the duration of your account. If you delete your account from Settings inside the app, the deletion is permanent: every round, shot, note, practice session, course note, scorecard photo, and profile row we hold for you is permanently removed from our systems, except for any limited records we need to retain to comply with legal obligations, resolve disputes, prevent fraud, or enforce our agreements.

We may also retain marketing preference records for compliance and audit purposes where required by applicable law.

9. Your Rights

Depending on your location, you may have rights to access, correct, erase, or restrict the use of your personal information, and to object to or withdraw consent for certain processing. You can delete your account at any time from Settings inside the app, or contact us using the details below if you need help exercising your rights.

10. Children

Chalk Golf is not directed at children under 13 (or 16 in the UK and EU). If you believe a child has created an account, contact us and we will delete it.

11. Changes

If we materially change anything, we will update the effective date at the top of this page and notify you in-app or by email before the change takes effect.
